Registering the Official Notification Email for Costa Rican Companies: Deadline and Mandatory Notarial Filing

If you own a Costa Rica company (for example, to hold real estate, make investments, or operate a business), there is a compliance item you should not leave pending: the company must have an email address registered as its official means of service/notification. This is not a general “contact email.” It is the formal channel for receiving official notices and it can directly affect your ability to complete filings.

Why this matters

If the registered email is missing or not kept up to date, the company may be treated as legally notified, and statutory deadlines may start running even if no one in the company actually saw the notice. In practice, that creates unnecessary risk and avoidable complications.

Deadline and what happens if you do not comply

The deadline to have the email properly registered is June 4, 2026. Starting June 5, 2026, the Registry will not register filings for companies that do not meet this requirement.

This is where it commonly impacts expats: when you are facing a sale closing, a time-sensitive negotiation, a bank requirement, or any urgent corporate matter that requires registering a power of attorney, an appointment of officers/directors, or a corporate amendment. The process can be delayed if the company is not compliant.

Notarial filing requirement.

For already-registered companies, this update must be completed through a notarial filing. There is no informal or “online-only” alternative that produces the same registrable effect. For that reason, it is best handled by a Costa Rican attorney-notary with corporate law expertise, to confirm proper authority and representation, prepare the notarial instrument correctly, and minimize the risk of rejections or delays at the Registry.
